Serving great coffee at a major event is about far more than supplying coffee beans. At scale, it requires the right equipment, trained baristas, efficient service systems, reliable logistics and a coffee that remains consistently good when hundreds or thousands of drinks are being served each day.
At Ground Coffee Society, our experience as a wholesale coffee supplier for events has been built over years of working at some of the UK’s leading sporting and hospitality occasions. One of the partnerships that helped shape our approach began at the Queen’s Tennis Championships in 2017.
What started as a relatively small coffee operation has developed into a large-scale event coffee programme spanning four major grass-court tennis tournaments, demonstrating how speciality coffee can be delivered efficiently in demanding, high-volume environments without compromising on quality.
Why wholesale coffee for events requires a different approach
A busy event is very different from a café or restaurant. Demand can arrive in concentrated bursts, service points may be spread across a large site and different areas can have completely different requirements.
A public concession might need to serve large numbers of drinks rapidly between matches or sessions, while a hospitality lounge may require a more personalised barista service. Player areas, staff facilities, sponsor spaces and VIP hospitality can each require their own equipment and service format.
That means successful event coffee supply needs to consider the entire operation, including:
- coffee volumes and anticipated guest numbers
- espresso machines and supporting equipment
- barista numbers and training
- service speed and queue management
- coffee consistency across multiple locations
- stock management and replenishment
- installation and event logistics
- different requirements for public, hospitality and VIP areas
Our aim is simple: to make high-volume event coffee feel as considered and enjoyable as the coffee served in a great independent café.

From a small coffee setup to Queen’s Tennis Championships
Our relationship with major sporting events began to accelerate in 2017 when Absolute Taste invited Ground Coffee Society to become involved with the Queen’s Tennis Championships.
Queen’s was already renowned for its food, hospitality and drinks offering. Champagne, cocktails and premium dining were an established part of the experience, but coffee had traditionally received less attention.
We saw an opportunity to demonstrate that speciality coffee at major events could be delivered at scale while still meeting the standards guests would expect from a premium hospitality experience.
We began with a relatively compact setup, concentrating on the fundamentals: good equipment, well-trained people, efficient workflows and consistently good coffee.
It worked.
The success of that first event demonstrated that quality coffee could operate effectively within a fast-moving sporting environment while remaining commercially viable and quick to serve.
Scaling event coffee without sacrificing quality
As the partnership developed, the challenge changed. It was no longer simply about proving that speciality coffee belonged at major events. The challenge became how to scale it.
More guests meant more service points, more espresso machines, more coffee and more baristas. But increasing capacity could not come at the expense of consistency.
Over subsequent years we continued refining the operation through:
- better equipment
- more efficient coffee stations
- structured barista training
- improved event logistics
- careful coffee forecasting
- consistent recipes and service standards
These are now central to the way Ground Coffee Society approaches wholesale coffee for large events.
Whether coffee is being served to a player, a corporate hospitality guest or somebody buying a flat white between matches, the objective remains the same: deliver a consistently excellent drink, quickly.
Wholesale coffee across four major tennis events
What began at Queen’s has grown into a programme supporting four major LTA grass-court events:
- Nottingham Open
- Birmingham Open
- Queen’s Tennis Championships
- International Eastbourne
Across these tournaments, Ground Coffee Society now supports an operation involving:
- more than 30 coffee machines
- around 60 trained baristas
- more than four tonnes of coffee
Each tournament presents different operational challenges, but the underlying requirement is the same: reliable equipment, sufficient capacity, well-trained teams and excellent coffee.
More than a wholesale coffee bean supplier
For large hospitality operators and event organisers, simply ordering enough bags of coffee is only one part of the equation.
A successful event coffee programme needs to consider how that coffee will actually be served.
Ground Coffee Society can support hospitality businesses and event partners with a broader wholesale coffee service, including coffee supply, barista training, espresso equipment advice and ongoing support.
For events in particular, this joined-up approach can make a significant difference. Equipment needs to match anticipated volume. Baristas need consistent recipes and training. Service points need to be designed around speed. Stock needs to reach the right locations at the right time.
When those elements work together, speciality coffee can be successfully delivered at considerable scale.
Coffee for hospitality, VIP areas and public concessions
One of the advantages of a flexible event coffee operation is the ability to adapt the service to different environments within the same venue.
At a major sporting event this can include:
- premium hospitality lounges
- sponsor and corporate areas
- player and team facilities
- public coffee concessions
- temporary coffee bars
- staff and operational areas
The coffee may be consistent across the site, but the method of service does not necessarily have to be.
Some locations benefit from a traditional espresso bar staffed by experienced baristas. Others may require a faster, simplified setup capable of handling much greater volumes.
Planning the right solution for each location is an important part of delivering coffee for large-scale events.
Event coffee logistics matter as much as the beans
At major events, logistics often determine whether a coffee operation succeeds.
Machines need to be delivered, installed and commissioned before service begins. Coffee, milk and consumables need to be available across multiple locations. Equipment must perform reliably throughout long trading days, and additional stock may need to be moved around a large site as demand changes.
This is why our experience has grown beyond roasting and supplying coffee. Understanding the practical realities of major events allows us to work with hospitality partners to build coffee operations that are both ambitious and achievable.
Our work at other major sporting events has reinforced the same principle. At The Open, for example, the operation has grown to encompass dozens of machines and more than two tonnes of coffee across a single championship site.
You can read more about that project in How We Brewed Our Way to The Open.
Wholesale coffee for sporting events
Sporting events are particularly demanding because customer traffic rarely arrives evenly throughout the day.
Match schedules, breaks, race sessions, weather and hospitality timings can all create sudden peaks in demand. A coffee operation therefore needs enough capacity to handle intense periods of service while continuing to produce drinks quickly and consistently.
Our experience now extends across tennis, golf and motorsport, including large-scale hospitality at Silverstone.

Choosing a wholesale coffee supplier for your event
If you are organising a large event, festival, sporting fixture, conference or premium hospitality programme, there are several useful questions to ask a prospective coffee partner:
- Can they supply the required coffee volume reliably?
- Do they understand high-volume event environments?
- Can they advise on the number and type of coffee machines required?
- Can they provide or support barista training?
- How will quality remain consistent across multiple service points?
- Can the operation scale if visitor numbers or requirements increase?
- Can they support your sustainability and sourcing requirements?
The best solution is rarely simply the cheapest coffee per kilogram. For a major event, reliability, service speed, equipment, staff knowledge and consistency can have a much greater impact on both the guest experience and the commercial performance of the operation.
Speciality coffee at scale
Queen’s remains an important milestone in the Ground Coffee Society story because it demonstrated something we continue to believe strongly: scale and quality do not have to be opposites.
With the right coffee, equipment, people and systems, speciality coffee can work in some of the busiest hospitality environments in the country.
What started as a small experiment in 2017 has developed into a long-term partnership serving major sporting events and thousands of guests.
And the objective remains the same today as it was at the beginning: serve outstanding coffee, quickly and consistently, wherever the event takes us.
